Run your conference for a fraction of what you pay now

EventSheets takes a scholarly event from the call for papers to the certificates: registration with capacity, waiting lists and early-bird pricing, submissions with automatic reviewer assignment and blind peer review, a programme grid and speaker pages, printed tent cards and badges, QR check-in, verifiable certificates, and the messages that go to everyone taking part.

Listing your event is free. You pay only if you want the site to run it for you.

What you get

Registration and capacity Set a capacity and registration closes when it fills — then an automatic waiting list takes over, and a freed seat goes to the next in line, who is emailed at once.
Early-bird and fee categories Price by participation type, country, rank or accommodation, each price with its own start and end dates, so the early-bird rate closes itself on the day you set.
No cut of your registration fees Participants pay you directly — into your account or your own payment link — and upload the receipt on the event page. We take no percentage and no per-ticket fee.
Submissions and peer review Abstracts and full papers by their deadlines, reviewers who need no account, and the decision delivered to the author by email.
Automatic reviewer assignment As many reviewers per paper as you choose, the load balanced with a cap per reviewer, a 1–5 score from each, and the average under every paper. Your manual assignments are kept.
Blind review that checks itself Reviewers never see the author, file properties are stripped, and the site warns you when an author has typed their name inside the paper.
Programme grid and speakers The programme as a grid by day and room, a speakers page listing each person with their sessions, and a personal schedule for attendees that flags clashes.
Time zones and calendars Enter the start time in your time zone and every visitor sees it in their own, with one-click Add to Google Calendar and Outlook.
Online and hybrid events The Zoom or Teams link can be shown to registrants only, and session times appear in each viewer's local time.
Email your registrants Message everyone, attendees only, presenters, or just those who checked in — replies come straight to your inbox. Automatic reminders go out before the event and before each deadline.
Printed paperwork Table tent cards, badges and session boards, generated at real millimetre sizes for your own printer.
Attendance An entry pass with a QR code for every participant, and check-in and check-out at the door with your phone's camera, day by day.
Certificates Your own background and signatories, issued in bulk — or automatically, once attendance conditions are met — each carrying a code and a QR anyone can verify on this site.
After the event A post-event question sent to those who attended, and a one-page final report — registrations, attendance, papers, countries — with no names, fit for a dean or a sponsor. Sponsor logos sized by tier.
Connect your own systems Signed webhooks send every registration, submission and decision to your CRM or to Zapier the moment it happens — documented for developers. Add your own Google Analytics or Meta Pixel to the event page.
Spread your call Your call for papers is listed on our open-calls page and RSS feed, and the site writes its text ready to post on WikiCFP and similar listings.
Co-organisers Add partners to run the event with you, each with only the access you grant them.
Your data, exportable Every list downloads as a spreadsheet, submitted papers download as a zip, and events export to any calendar.

Other platforms' prices as published on 2026-09-22. Ours are read from this site's own price list, so this table and the checkout cannot disagree. Dollar figures are approximate: the riyal is pegged at 3.75 to the dollar, and your card is charged in riyals while your bank converts.

Two of those are free or nearly free, and they are on the list on purpose. Microsoft CMT costs nothing and EasyChair costs a few dollars a submission — but both do submission and refereeing and stop there. If that is all you need, they are good. The comparison worth making is with the platforms that run the whole conference, and that is where the difference is fourfold.

Who built this

EventSheets was built by Professor Abdulaziz Homaid Alhomaid, Professor of Philology and Lexicography at Imam Mohammad Ibn Saud Islamic University, former Vice-Dean of the College of Arabic Language for Graduate Studies and Scientific Research, and Head of its Department of Grammar, Morphology and Philology. He chaired the academic committee of Arabic in International Organisations at the King Salman Global Academy for Arabic Language, and has taken part in twenty-two conferences across nine countries — as organiser, as reviewer and as contributor.

The site came out of that. The attendance lists, the certificates written out one at a time, the email threads where a submission goes missing — this was built to do away with them, by someone who had done all three by hand. More about the site and its founder →

The questions you are about to ask

Who is behind this?
Awraq Al-Faaliyat Establishment for Organising Exhibitions and Conferences, a registered Saudi business — commercial registration 7055063189, verified with the Saudi Business Center under 0000321016. The particulars are on the store information page.
Can I pay with an ordinary card?
Yes. Payment goes through a payment gateway licensed in Saudi Arabia; we never see card details. The charge is in Saudi riyals and your own bank converts at its rate. An invoice reaches you as soon as it clears.
What if I change my mind?
Before your event is published, the fee comes back in full; after publication you have seven days, or until your first registration, whichever comes first. It is set out in the refund policy.
What happens to my participants' data?
It stays yours. We do not sell it, rent it, or show anyone's email address to another member, and every list on your event downloads as a spreadsheet whenever you want it. The privacy policy says exactly what is collected and who sees it, and the security and accessibility statements say what is in place — and what is not yet.
Where is our data hosted?
On a server in New York (DigitalOcean, NYC1). The database is copied every night, and each copy is taken off that server the next morning, so a failure there does not take your event with it. We do not yet offer hosting inside the EU or a data processing agreement; if your institution needs either, ask us before you commit rather than after. The security statement has the detail.
Can we talk before we decide?
Yes — fifteen minutes on a call, in English or Arabic, with the site's founder. Ask for a call and say your time zone; we reply with a time and a link.
Is the site in English?
The site is, and so is everything you fill in. What is not translated is other people's event descriptions — this site's audience is largely Arabic-speaking and it publishes what organisers write, in the language they write it. Your own event appears in whatever language you enter it — mark it as held in English and English readers see it first, labelled «In English».
Who answers if something goes wrong?
A person, from the contact page, in English or Arabic. This is a small site run by the people who built it, which is the reason it can be this cheap and also the reason you should ask us anything before you commit.
