Privacy Policy

We collect only what you write yourself and what is needed to run the site. We do not sell your data or rent it out, and neither your email address nor your mobile number is shown to a visitor or to another member.

1. Who we are

EventSheets (eventsheets.com) is operated by Awraq Al-Faaliyat Establishment for Organising Exhibitions and Conferences, commercial registration number 7055063189, verified with the Saudi Business Center under number 0000321016. Contact details are on the contact page, and the establishment's particulars on the store information page.

2. What we collect

• Your account details: name, username, email address, mobile number, country, sex, and a profile picture if you upload one. Sex is asked for one reason: the wording of the certificate (Mr or Ms).
• What you publish: the events you organise with their descriptions and images, news items, articles and comments, and what you upload to the events library.
• Your participation: your registration in an event, your abstract and your full paper if you submit one, and the referees' verdict on it.
• Your messages: what you write to an event organiser or to the site's administration, and what we reply.
• Your preferences: the specialities you pick under «Personalise», your favourites, and your professional certificates if you record them.
• The visit log: which page was opened, when, the kind of device, and the site that referred you.

The visit log does not keep your address: no IP address and no browser name are stored, only a hashed fingerprint of the two that changes every day — so the same reader is one visitor today and a different visitor tomorrow. This deliberately reduces the accuracy of counting returning visitors, so that the table cannot be turned back into a list of people.

3. Why we collect it

• To run what you asked for: your account, your registration in events, issuing your certificate in your name, and delivering your paper to the referees.
• To tell you what concerns you: event reminders, refereeing results, replies from the administration, and the site's general letters — every bulk letter carries an unsubscribe link at its foot that stops them with one click.
• To protect the site: detecting tampering, preventing duplication, and fixing faults.
• To know what is read: aggregate counts by page, without knowing who read it.

4. What we do not do

• We do not sell your data, rent it, or trade it with anyone.
• We do not show your email address or your mobile number to a visitor or to another member.
• Members do not message one another through the site. Messaging belongs to a particular event: whoever asks about an event writes to its organiser, and the organiser writes to those registered in it — and in both directions the message arrives without the sender seeing the other's address.
• We do not carry advertising that follows you, and we use no advertising tracking tools.
• We do not ask you for bank details or a card number: the site does not receive your event registration fee at all — it is paid to the organising body directly through their own link. If payment through the site is opened in future it will be handled by a licensed payment gateway, and we will not hold your card details.

5. Who sees your data

• The organiser of the event you registered for: sees your name, your email address and the kind of participation, in order to issue your certificate and write to you about it.
• Referees: see your paper without your name wherever refereeing is blind.
• Named service providers: Zoho (the site's mail), ZeptoMail (automated messages), and the server that hosts the site. They do not use your data for anything but delivering what was sent.
• Google Maps when you open a page carrying a map of an event's location, at which point your browser contacts their servers to draw it.
• The Saudi Business Center when the «verified merchant» seal is drawn in the corner of the page, at which point your browser contacts their server to confirm the verification.
• The competent authorities if data is required under the law.

6. How long we keep it

• Your account details for as long as your account exists.
• Events and articles you published remain while they are published, and you may ask for them to be deleted.
• Your certificates and their verification codes remain, because a certificate is a document somebody else holds and verifies — deleting its record would void a certificate in its holder's hand.
• The visit log is an aggregate count that does not lead back to a person.

7. Your rights

At any time you may:

• See your data on the «My account» page, and correct it yourself.
• Stop the site's letters from the link at the foot of each one, without your account being deleted.
• Ask for your account to be deleted, whereupon it is deleted along with what belongs to you, and what the law requires be kept remains (such as the record of a certificate issued in your name, and financial records if any).
• Complain to us first through the contact page if you believe your data has been used other than as described, and then to the competent data protection authority.

8. Cookies and usage measurement

The site uses cookies that are necessary for it to work:

• The session cookie: keeps you inside your account between pages, and ends when you sign out.
• The protection (CSRF) cookie: prevents a form being submitted in your name from another site.
• The personalisation cookie: keeps the specialities you chose if you are not signed in, so that the site stays personalised for you. It is erased by clearing your browser's files, or by choosing «Show all events».

It also uses one measurement tool, Microsoft Clarity, which records how a page is used — where visitors click and where they stop — so that we can see what is difficult and fix it. It is not used for advertising, what it gathers is not sold, and it is not linked to your name.

It is switched off for you while you are signed in. Your account pages, your messages, your forms and the administration screens are not recorded at all — measurement runs only for a visitor who is not signed in. To stop it in your own browser, «Do Not Track» or an ad blocker will prevent it.

9. Children

The site is addressed to researchers and to organising bodies. Anyone under eighteen registers and takes part with the knowledge and consent of their guardian. If we learn that an account was registered for a minor otherwise, we delete it when asked.

10. Changes to this policy

It may be amended when something is added to the site that collects new data — such as opening payment through the site. The date of the last amendment is written at the top of the page, and anything that materially affects your data is notified to members by letter, not by a silent change to a page.

11. General

• This policy forms part of the terms and conditions, together with the refund policy.
• Nothing in this policy detracts from any right granted by an applicable Saudi law.
